What to include on a tutoring invoice
- Your name and contact details. Your name or tutoring business name, email address and location.
- The parent or client's name and address.
- The student's name and subject, especially if you tutor more than one student for the same family.
- A unique invoice number. Useful if you invoice the same family weekly or monthly.
- Each session as its own line, with the date and length shown.
- Materials billed separately, if you charge for workbooks or practice tests.
How to word your line items
A parent checking a monthly bill wants to match it against their own memory of the sessions. Dated line items make that easy.
- Standard sessions: "Algebra tutoring session, September 3 (1 hour)" states the date, subject and length in one line.
- Longer sessions: show the actual length, such as 1.5 hours, so the rate times the time matches the amount.
- Materials: list separately, such as "Practice test and review materials", at the cost you are passing through or charging.

- Due weekly or monthly, matching how often you invoice, rather than billing after every single session.
- A cancellation policy, such as a fee for cancellations inside 24 hours, agreed with the family before you start.
