Cleaning services invoice template

What a cleaning services invoice needs, a filled-in example for a home cleaning visit, and how to bill the base visit plus add-ons.

Updated by the ToolsToHelp.Me team

Cleaning services usually charge a base rate for a standard visit, with a handful of common add-ons layered on top: a deeper clean, the inside of an oven or fridge, or interior windows. An invoice that keeps the base visit and each add-on on its own line makes the total easy to check at the door.

What to include on a cleaning services invoice

  • Your business name and contact details. A phone number and email address are usually enough.
  • The client's name and service address.
  • A unique invoice number. Simple sequential numbering works well for recurring clients.
  • The service date, since you may send several invoices to the same client over time.
  • The base cleaning and each add-on as separate lines. Do not fold extras into one lump total.
  • The next scheduled visit, if you clean on a recurring basis, noted in the invoice notes.

How to word your line items

Naming the size or scope covered by your base rate, and describing each add-on plainly, is what lets a client see the invoice matches what they booked.

  • Base visit: "Standard home cleaning, up to 2,000 sq ft" states what the flat rate covers.
  • Add-ons: "Deep clean add-on (inside oven and fridge)" names the specific extra work.
  • Per-unit extras: interior windows or additional rooms priced per unit, such as "$6.00 per window", so the quantity times rate is easy to verify.

Payment terms for cleaning services

  • Due on day of service for most residential clients, paid at the end of the visit.
  • Net 15 or Net 30 for commercial or office accounts billed monthly.
  • A cancellation fee, disclosed in your policy, if a client cancels with less than the notice period you require.

Frequently asked questions

How do cleaning services usually price a job?

Most residential cleaners charge a flat per-visit rate based on the size of the home, with add-ons priced separately for extras like a deep clean, inside the oven or fridge, or interior windows.

Should I bill each add-on separately from the base cleaning?

Yes. Listing the standard cleaning on one line and each add-on on its own line lets the client see what pushed the total above your usual rate for that home.

How do I invoice for a recurring cleaning schedule?

Many cleaners send one invoice per visit, using the same client details each time and just changing the date and any add-ons. A consistent invoice number sequence keeps the history easy to search.

Do I need to charge sales tax on cleaning services?

It depends on your state, since some tax cleaning services and others do not. Check your state's department of revenue or an accountant rather than guessing.

When is payment usually due for a cleaning visit?

Most residential cleaning is due on the day of service. Commercial or office cleaning accounts are often billed monthly with Net 15 or Net 30 terms.
